Privacy Policy
Last updated: 1 January 2026This Privacy Policy explains how Oakridge Builds ("we", "us", "our"), operated by Suraj Singh, collects, uses, stores, shares and protects personal information when you interact with our website at oakridgebuilds.co.uk or engage us for residential joinery and interior construction services. We are committed to handling your personal information transparently and in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
By using our website, submitting an enquiry, requesting a quotation, or engaging us for project work, you acknowledge that you have read and understood this Privacy Policy and consent to the practices described below.
1. Who we are and how to contact us
Oakridge Builds is a sole trader business operated by Suraj Singh providing residential carpentry, joinery, media wall, shelving, storage and interior timber installation services across the United Kingdom. For any privacy or data protection queries, please contact us at oakridgebuildsss@gmail.com. We are the data controller for the personal information described in this policy.
2. Information we collect
We only collect personal information that is necessary to respond to enquiries, prepare quotations, deliver services, process payments and meet our legal obligations. The categories of personal information we may collect include:
- Contact details such as your full name, email address, telephone number and the town or postcode area of the property where work is being considered.
- Enquiry information including the project type you are interested in, descriptions of the room or work, photographs or measurements you choose to share, and any other content included in your message.
- Quotation and project information such as scope documents, materials lists, agreed pricing, scheduling information, on-site notes and photographs taken during a site visit (only where you have agreed).
- Payment information processed through our payment provider (Stripe). We do not store full payment card details on our website or in our systems.
- Communications including emails, messages and any correspondence between you and Oakridge Builds.
- Technical information such as basic website usage data (e.g. pages visited, approximate location, device type) where collected by essential cookies or hosting logs.
3. Contact forms and customer enquiries
When you complete the contact form on our website, the information you enter is sent directly to our email inbox so we can respond to your enquiry. We do not use this information for marketing, do not sell it, and do not share it with any third parties other than the limited service providers described below. If your enquiry does not progress into a project, your enquiry record is retained only for as long as is reasonably necessary for record-keeping and is then deleted.
4. How we use your information (lawful bases)
We rely on the following lawful bases under the UK GDPR for processing personal information:
- Contract — to prepare quotations, schedule project work, deliver services, process payments and provide aftercare.
- Legitimate interests — to operate and maintain our website, respond to enquiries, keep basic business records and improve our services.
- Legal obligation — to comply with UK tax, accounting, consumer protection and other applicable laws.
- Consent — where you have explicitly agreed, for example to receive specific follow-up communications outside the original project scope.
5. Data retention
We retain personal information only for as long as is necessary for the purposes set out in this policy or as required by law:
- Enquiries that do not progress to a quotation are normally deleted within 12 months.
- Quotations, project records, invoices and related correspondence are retained for at least 6 years to comply with UK accounting and tax requirements.
- Project photographs may be retained for portfolio purposes only where you have agreed to this; otherwise they are deleted on project completion.
6. Stripe and payment processing
Payments are processed by Stripe, an independent payment service provider. When you proceed to pay for a package or project, you are redirected to Stripe's secure environment. Stripe collects and processes your payment information (including card details and billing information) as an independent data controller under its own Privacy Policy, available at stripe.com/privacy. Oakridge Builds does not see, store or have access to your full card details. We only receive limited transaction information such as confirmation of payment, the last four digits of the card, the amount and the package purchased — strictly to fulfil the order and keep accurate records.
7. Cookies and website analytics
Our website uses only essential cookies that are required for the website to function correctly, such as remembering that you have acknowledged our cookie notice. We do not use third-party tracking cookies, advertising cookies, or behavioural profiling cookies. For more information on the specific cookies used, please see our Cookie Policy.
8. Sharing your information
We do not sell your personal information. We share personal information only where necessary and only with trusted parties:
- Stripe — to process payments.
- Email and hosting providers — to deliver communications and operate the website.
- Professional advisers — such as accountants, in order to meet legal and tax obligations.
- Authorities and regulators — where required by law, court order or to protect our legal rights.
Where third parties act on our behalf, they are bound by appropriate confidentiality and data protection obligations.
9. International transfers
Most of our processing takes place within the United Kingdom or the European Economic Area. Where service providers (such as Stripe or our email infrastructure) involve transfers outside the UK/EEA, we rely on the safeguards those providers have in place, including standard contractual clauses and other approved transfer mechanisms.
10. Security
We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse or alteration. These include access controls on devices used to manage enquiries, the use of reputable hosting and payment providers, and the secure handling of any project files and correspondence.
11. Your rights
Under the UK GDPR you have the following rights:
- The right to be informed about how we process your data (this Privacy Policy).
- The right to access a copy of the personal information we hold about you.
- The right to rectification of inaccurate or incomplete information.
- The right to erasure of your personal information where there is no overriding legal reason to keep it.
- The right to restrict or object to processing in certain circumstances.
- The right to data portability for information you have provided to us.
- The right to withdraw consent where processing is based on consent.
- The right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
To exercise any of these rights, please contact us at oakridgebuildsss@gmail.com. We will respond within one month, in line with our legal obligations.
12. Children
Our services are intended for adult homeowners. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
13. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to our services, technology or legal requirements. The most current version will always be available on this page with the date last updated.
14. Contact
If you have any questions, concerns or requests about this Privacy Policy, please email oakridgebuildsss@gmail.com.
15. Project photography and portfolio use
From time to time we photograph completed projects for the purposes of maintaining our portfolio, sharing examples of recent work on our website, and demonstrating our standard of finish to prospective customers. Where photographs may include identifying features of your property — such as recognisable architectural details, external views or any aspect that could reasonably link the image back to you — we will request your explicit, written consent before any such photograph is published or shared externally. You are free to refuse consent, to request specific images be excluded, or to ask us to remove previously approved images at any time, without affecting your project or any aftercare entitlements. Where consent is given and later withdrawn, we will remove the relevant images from publicly accessible channels we control within a reasonable timeframe.
16. Suppliers and sub-contractors
To deliver certain projects we work with a limited number of trusted suppliers (for materials, hardware, finishes) and, occasionally, specialist sub-contractors (for regulated trades such as electrical works integrated into a media wall). Where these parties need access to limited personal information — for example a delivery address, a contact number for site access, or installation instructions — we share only the minimum information required for them to perform their role. These parties are required to handle your information confidentially and in line with applicable data protection law.
17. Marketing communications
We do not operate any marketing email list, mailing list, automated drip campaigns or behavioural advertising programme. We will not contact you for marketing purposes unless you have explicitly asked us to. From time to time, with your consent, we may follow up after project completion with a short message asking for feedback on your experience — this is operational, not marketing, and is sent only once per project.
18. Data accuracy
We rely on you to provide accurate information when submitting an enquiry or accepting a quotation. If your contact details, address or other personal information changes during a project, please let us know so that records can be updated and communications continue to reach you correctly.
